Utilities Department Associate

Giddings, TX

The position works to provide assistance and back up to the Account Manager, and/ or Producers, along with other members of the service team in handling accounts.

Responsibilities include, but are not limited to, processing policies, endorsements, and audits, aide with marketing documents and claim processing, participation with annual seminar and miscellaneous department projects as requested, and keep open communication to team members regarding tasks and systems. Communication with carriers and clients will be limited. See full details in the lists below.

Job Functions

1. Service Utilities Department accounts as assigned in a manner to eliminate gaps in coverage, thus reducing our agency’s E&O exposures

2. Provide support to the department to benefit clients and to reach the agency’s strategic business goals

  • Assist with marketing to prospective clients
  • Prepare folders as needed for client visits

3. Assist in maintaining positive and professional communication

  • Keep open communication with Manager and Account Managers regarding tasks and workflow. Request assistance whenever necessary to ensure timely processing, avoid duplication of work and avoid missing deadlines.

4. Prioritize workload and request assistance as required

  • Provide weekly desk status report to producer and manager; include all assigned activities and tasks.

5. Maintain and update electronic files (in Agency Management System and Document Filing System)

  • Report all malfunctions of system software to IT and manager

6. Maintain suspense items in a timely manner

7. Prepare/Process Surveys

  • Verify current coverages and exposures
  • Create Survey (underwriting) in Word
  • Create Schedules in Document Filing System
  • Assist with processing survey data when received back

8. Support the Marketing Process – New and Renewal Business

  • Create renewal checklist and update throughout market process
  • Prepare client-specific Summary of Operations to be sent with all submissions
  • Prepare ACORD applications, Carrier Specific applications, and other necessary documents
  • Save necessary submission documents in WUD (Financials, Loss Runs, Loss Summary, Acord Applications, Driver List)
  • Assist in proofreading co-workers’ proposals

9. Proposals – New Business and Renewal Business

  • May assist with creating proposals (enter information into database and update pages specific to client)
  • Assist in proofreading co-workers’ proposals

10. Binding Coverage

  • May assist with issuance of ID Cards/Proof of Insurance
  • Assist with double checking co-workers’ OTB checklist to ensure all has been completed prior to policy inception

11. Process Policies

  • Keep policy status worksheet updated
  • Prepare policies for clients (follow binder checklist, create electronic file, prepare 3-ring binder)
  • Mail policies to clients (or give to producer for delivery)

12. Process Endorsements & Audits

  • Verify accuracy, prepare letter, prepare invoice or refund request

(Account Manager is to be copied on any email correspondence to the insured)

13.Proof of Insurance

  • Issue renewal Certificates of Insurance and/or Evidence of Property forms to holders
  • Assist with issuing additional proofs of insurance as requested from client

14. Invoicing

  • Invoice all premium bearing transactions (renewals, endorsements, audits, cancellations)
  • Ensure billing information sent to client and confirm payments received

15. Seminar

  • Participate in planning meetings as requested
  • Assist with creating/updating reports and documents
  • Assemble participant information
  • Attend conference as schedule allows

16. Understand ALL department processes and programs. Should be able to perform all job functions and provide back up when necessary to assist team members during heavy workloads, absence, or special circumstances/projects.

17. Provide “back-up” to claims department for:

Claims

  • Know and understand how to use the department’s Customized Claim Program
  • Process claims (review incoming notices, report claims to carriers, maintain internal records of claims)
  • Obtain claim status (communicate with adjusters) and prepare reports (internal & client reports)

Loss Runs

  • Obtain loss runs from carriers and update internal records
  • Prepare loss reports for submissions and proposals (follow department timeline)

Loss Control

  • Assist with topics for monthly newsletter

1. Surplus Lines Filing

Texas Filing

  • Ensure the filing is completed within the state’s deadline. (If policy is not received in time, our agency files the taxes and fees based on the binder and then re-file the required documents once the policy is issued)
  • Use state’s online filing system to report taxes and fees.
  • Add state-required forms and filing data to the policy.
  • Ensure policy is compliant with state’s annual audit of filed taxes & fees.

Back up for Colorado monthly filing

2. Notary Public

  • Process all notary applications.
  • Monitor renewal lists and communicate with clients prior to expirations. (Account Manager is to be copied on any email correspondence to the insured)

Commercial Lines Assistant Account Manager

The Commercial Lines Assistant Account Manager provides assistance and back up to the Account Manager, and/ or Producers, along with other members of the commercial service team in handling and servicing of commercial accounts to maintain an efficient, cohesive and effective operational department developed by the agency.

  • Monitors and verifies various schedules (drivers, fleet, equipment) and updates the agency system on an ongoing basis
  • Processes updates integrating Sagitta/ImageRight as requested by AM
  • Pulls and prepares various renewal update documents integrating MS Word and Sagitta as requested by AM
  • Supports AM in all renewal processes as requested by AM
  • Pull documents from carrier websites such as policies, endorsements, billing inquiries, etc.
  • Contacts clients and/or carriers when required for information and coordination of processes
  • Attends calls and correspondences, providing information with respect to insurance policies and their coverages, responding promptly and appropriately
  • Inputs all carrier notices/emails and client interaction into ImageRight
  • Verify information from multiple sources for accuracy
  • Perform computer data entry and file maintenance by setting priorities, refining and updating databases and other related information following all workflow processes and procedures
  • Manage electronic and/or paper files in an orderly, up-to-date manner
  • Maintain confidentiality of all information
  • Maintain a positive, professional, cordial and effective relationship with clients, co-workers, other agency departments, vendors, carriers and other business contacts
  • Coordinate account activity and tasks with various staff
